The Menokin Foundation is a 500-acre historic site in Warsaw, Virginia that welcomes visitors year-round to tour the historic ruin of Declaration of Independence signer Francis Lightfoot Lee and his wife Rebecca Tayloe Lee and to enjoy the property for its nature trails, summer kayaking, and ongoing interpretive and historical projects, including genealogy research to identify descendants of the people enslaved at Menokin and conservation work. Menokin seeks to be a cultural and recreational resource for citizens of the Northern Neck and beyond, celebrating history, community, and inclusive storytelling.

Office Manager 

The Menokin Foundation seeks an organized, logistics-oriented person, comfortable with databases and cloud-based programs, knowledgeable about office work-flow systems and flexible in a busy office situation to serve as our Office Manager. This person will oversee daily office operations and provide administrative support, including answering phones, processing mail, responding to general email inquiries, processing donor gifts, coordinating office calendars, tracking and ordering supplies, and supporting the interlocking needs of senior staff to keep operations well-coordinated. This position reports to the Executive Director.

Key Duties and Responsibilities 

Office Systems

  • Manage daily office operations, answer phones, process mail, help track and register invoices, respond to general email inquiries, track and replenish office supplies.

  • Create and update database records for financial and donor information and other visitor-tracking data as needed.

  • Help coordinate vendors to address office and IT maintenance needs and site/landscaping needs.

  • Maintain and organize shared digital and cloud files as needed to ensure easy access for staff.

  • Coordinate office calendars, support staff to keep Menokin's public-facing work well-coordinated.

  • Create a welcoming atmosphere at the Visitor Center for staff and visitors and help ensure the main reception area is clean, safe and inviting for the public.

Program Support 

  • Provide logistical support for on-site events and gatherings as needed, including help with scheduling, vendors, catering and food set up, and technology.

  • Provide Visitor Information assistance.

Executive Support 

  • Support the Executive Director with communications, paperwork, meeting preparation and other administrative tasks as needed. 

  • Provide administrative support and help with logistical arrangements for quarterly board meetings.

Desirable experience

  • Willingness to troubleshoot and be point-person for technology issues related to computers, printers, etc., would be an asset.

  • Interest in history, conservation, archaeology and/or kayaking an asset.

Qualifications and Competencies

  • 2+ years of office management experience required

  • Bachelor’s degree preferred, or equivalent experience

  • Detail-oriented and a self-directed worker. Will proactively take charge of processes and routine tasks

  • Self-starter with solid knowledge of office practices, systems, computer programs, and equipment

  • Strong computer skills in Cloud-based office systems including MS Office 365, databases, Adobe, Zoom, and shared calendars; experience with relational or CRM databases and software. [If you know some of these programs and are willing to learn the others, that will work]

  • Basic bookkeeping with QuickBooks is an asset

  • Reliable, flexible, accurate, organized, unflappable

  • A quick learner; can manage and meet deadlines  

  • Integrity; can maintain confidences

  • Thrives in a team environment

  • Comfortable welcoming visitors to this tourism site, showing empathy, patience and helpfulness to all visitors

Work Schedule 

Due to the nature of this position, the Office Manager is a full-time role, expected to work in-person at least four days/week at Menokin's Visitor Center, and five days a week during peak tourism season. This position operates during regular business hours, Monday-Friday, during winter hours, with the need to shift to five days including one weekend day during summer hours, when Menokin is open to visitors on weekends. Occasional weekend work may be required to support programming events. Residency in the Northern Neck is desirable.

COMPENSATION:

This is a full-time salaried position with a salary range of $37,000 - $40,000 annually depending on experience. Menokin offers a benefits package that includes a health insurance program, 80 hours of paid vacation, 80 hours of paid leave, and more than a week of additional holiday time off.
